Dive centre software: what does what
"Dive centre software" is not a product, it is an umbrella term for five quite different jobs. Sort them once and it becomes obvious where it currently hurts - and where a program would change nothing at all.
The five jobs
| Job | What it covers |
|---|---|
| Check-in and documents | Guest details, medical questionnaire, liability, insurance, certifications, signatures, retention. |
| Guest management | Who is here today, who arrives tomorrow, who is fully verified, who still owes money. |
| Daily planning | Boat trips, groups, guides, tanks and gas, pickups. |
| Rental and retail | Which gear is out, how many rental days are billed, what was sold. |
| Accounting | Invoices, payments, tax, handover to the accountant. |
Almost every centre already has something for the last two - a till, an accounting package, at worst a spreadsheet that works. The point where things most often break down in practice is the first one: check-in and documents. It is also the only one where paper is still the norm.
Diver ID covers the first four jobs and deliberately does not replace your accounting. If you are looking for one system that also produces your year-end figures, look elsewhere. If you want the paperwork off your desk, you are in the right place.
What actually matters when choosing
Can a guest use it without being taught?
Every minute your team spends explaining a program is a minute lost. That goes double for guests: anyone who needs instructions at the desk would have filled in the paper faster. Test this before you commit - with a real guest, not with yourself.
Does it speak your guests' languages?
At an international centre, language is not a nicety. It is the difference between a signed declaration and one that is worth very little, because a guest who did not understand what they signed did not really agree to it.
What does it cost after a weak season?
Monthly subscriptions feel fine when the place is full and painful when two months are quiet. Check whether you are paying for empty weeks.
Can you get your data out?
Ask what an export looks like before you start. A centre that cannot get its guest records out as a PDF or a spreadsheet has made itself dependent.
How Diver ID is priced
Diver ID charges per guest check-in rather than per month: from 0.39 euro, prepaid as credit that stays valid for three years. The first 20 check-ins are free, and a guest who is medically excluded during the questionnaire does not use up any credit. For divers, Diver ID is free. All prices plus VAT where applicable.
Introducing it without stopping the shop
The usual mistake is a hard switch in the middle of the season. The quieter route: create the account, decide what you ask, print the QR code - and to begin with, only capture the guests who reach for their phone anyway. That is more of them than you would think. The paper stays next to it until you no longer need it.
Frequently asked questions
Do I need dive centre software for five guests a day?
For daily planning, probably not. For check-in, yes: the paperwork per guest is the same whether you have five or fifty. Five a day adds up to several hundred sheets a season that someone has to explain, check and store.
Does Diver ID work alongside our existing till and accounting?
Yes, that is the intended setup. Diver ID replaces the paperwork around guests and check-in and does not touch your till or your books.
What happens to our data if we stop using it?
You export guest records and check-in documents as PDFs or a spreadsheet. Prepaid credit stays valid for three years, so it does not expire at the end of the season.
