Digital check-in for dive centers

Every first-time guest at your desk costs between ten and thirty minutes: explain the form, wait for the medical questionnaire, copy the certification card, collect signatures, file it all away. A digital check-in turns that into something the guest does themselves - often before they even arrive.

What actually piles up at the desk

The paperwork is always the same combination of five things. Anyone digitising the check-in has to cover all five, or the binder stays where it is:

On top of that sit the things every centre does differently: house rules, boat procedures, agency-specific course paperwork, photo consent. A digital check-in is only worth having if it absorbs that part too.

In short

Digital check-in does not mean emailing a PDF form. It means the guest is walked through every required field, signs digitally, and your guest list shows at a glance who is complete and who is not.

How it runs in practice

  1. The guest opens a link. Scanning a QR code at the desk or tapping a short link you sent by email or WhatsApp. No app download, no password on first contact.
  2. The guest fills it in. The flow asks exactly what you configured, in their language. A photo of the certification card instead of typing, a signature with a fingertip.
  3. You review. The guest appears in your list with a colour-coded status. If every document is there, verifying is one tap.
  4. Next visit. When the same guest returns, everything is already on file. The flow only asks for what has expired or may have changed.

What changes at the desk

The biggest effect is not the minute saved per guest - it is the end of chasing people. Paper always leaves gaps: a missing signature on page two, an empty emergency contact field, a certification card someone will "show tomorrow" and then forgets. Digitally, the guest simply cannot finish while something is missing.

The second effect is that you can find things again. Looking for a declaration signed the summer before last means going through a few hundred sheets - or typing three letters into a search box.

What you need, and what you do not

You needYou do not need
One device with a browser: phone, tablet or the desk computer. No installation, no app store, no new hardware.
To decide once what you ask and what guests sign. No system migration - your till, bookings and filing stay as they are.
A QR code at the desk, or a link in your confirmation email. No staff training and no manuals.

And when the internet drops?

That is the most common worry, and a fair one: at many centres the Wi-Fi is a suggestion rather than a promise. Which is why the rule is that check-in must not depend on your desk. Guests check in from the hotel, from airport Wi-Fi or over mobile data, and all that is left on site is the review. If you want a paper original for the binder, every record prints as a PDF at any time.

Frequently asked questions

How long does a digital check-in take for the guest?

Under 5 minutes the first time, because the certification, the medical questionnaire and the signatures are new. Every visit after that takes seconds: only what has expired or may have changed is asked again.

Does the guest have to install an app?

No. Check-in runs in the browser - scanning a QR code or opening a link is enough. Guests who want to can add the page to their home screen like an app.

What about guests without a smartphone?

They fill in the form on your tablet or desk computer, or your team creates the record and simply presents the signatures. Both paths are built in; nobody gets stuck.

Does digital check-in replace our own forms?

It can absorb them. House rules and agency-specific course documents go into the flow - photographed or uploaded once as a PDF, after which every matching guest is asked to sign them automatically.
